Position Overview

This role serves as a central hub for coordinating projects from concept through completion, ensuring accuracy, efficiency, and timely delivery. You’ll collaborate with sales, production teams, vendors, and clients to develop estimates and manage workflows that bring high-quality print and environmental graphics projects to life.

The Estimator / Project Manager is responsible for preparing accurate estimates and coordinating commercial print and environmental graphics projects from initial request through production and delivery. This internal customer service role supports sales representatives and account managers by serving as a central point of coordination between customers, vendors, installers, and internal production teams to ensure projects are executed accurately, efficiently, on time, and within budget.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple projects simultaneously while maintaining strong communication and collaboration across departments.

What You’ll Do

Estimating & Job Planning

  • Prepare accurate and timely estimates for commercial print, wide format graphics, signage, displays, environmental branding, and related services.
  • Review project specifications, materials, labor requirements, installation considerations, and production methods to determine project costs.
  • Recommend efficient and cost-effective production solutions while maintaining quality standards.
  • Work closely with sales representatives and account managers to clarify customer requirements and project specifications.
  • Maintain estimating records, vendor pricing, and material databases.

Project Coordination & Production Support

  • Coordinate projects from order entry through final production, delivery, and installation completion.
  • Develop and maintain project schedules, production timelines, and installation coordination plans.
  • Create and manage job tickets, work orders, and project documentation.
  • Coordinate workflow between prepress, print production, finishing, fabrication, fulfillment, shipping, and installation teams.
  • Schedule and coordinate subcontractors, installers, vendors, freight, and material deliveries as needed.
  • Monitor project progress and proactively resolve scheduling, production, or operational issues.

Internal & Customer Communication

  • Serve as a primary support resource for sales representatives and account managers throughout project execution.
  • Communicate project updates, timelines, and production status clearly and proactively.
  • Assist with customer communication regarding schedules, specifications, proofs, and delivery expectations when needed.
  • Address project concerns professionally and escalate issues appropriately.

Site Surveys & Installation Coordination

  • Coordinate or participate in site surveys to evaluate installation conditions, measurements, access requirements, and project challenges when required.
  • Verify project readiness prior to production and installation.
  • Collaborate with installation crews and field personnel to support successful project execution.
  • Ensure completed projects meet company quality standards and customer expectations.

Vendor, Production & Quality Coordination

  • Source materials and coordinate with outside vendors when required.
  • Collaborate with internal production and graphics teams to ensure project readiness and successful execution.
  • Coordinate shipping schedules, freight logistics, and installation timelines.
  • Monitor projects to ensure compliance with company quality standards and customer expectations.
  • Support billing accuracy through proper documentation and change order tracking.
  • Conduct project closeout activities and maintain organized project records.

What You Bring

  • 3+ years of estimating, project coordination, customer service, or production support experience preferred.
  • Experience in commercial printing, wide format graphics, signage, environmental graphics, or related manufacturing industries preferred.
  • Strong understanding of print production processes, wide format materials, finishing methods, and installation coordination.
  • Excellent organizational and multitasking skills.
  • Strong communication and customer service abilities.
  • Self-motivated and highly accountable.
  • Strong sense of urgency and responsiveness.
  • Team-oriented with a collaborative mindset.
  • Ability to anticipate problems and proactively develop solutions.
  • Proficiency with Microsoft Office and print MIS/ERP systems preferred.

Work Environment & Physical Requirements

This position operates primarily in an office and production environment with regular interaction across manufacturing departments. Occasionally early morning, evening, or weekend work may be necessary based on project schedules and production timelines.
