Project Overview

When communication confirms a life-saving decision, accuracy and timing are everything. Donor Network of Arizona needed a faster, more dependable way to deliver donor confirmation letters without compromising data integrity or trust. O’Neil partnered with Donor Network of Arizona to redesign the data, proofing, and mailing workflow—shortening timelines while strengthening accuracy and reliability across every step.

Client Overview

Donor Network of Arizona is the state’s federally designated organ procurement organization. Its role is to facilitate organ and tissue donation and communicate clearly with individuals who register as donors.

Confirmation letters sent to first-time registrants play a critical role in verifying intent and reinforcing trust. Each bi-monthly mailing includes approximately 8,000–10,000 records and must be handled with precision, care, and speed.

When communication carries real responsibility, the system behind it has to work flawlessly.

The Challenge

Lengthy Production Timelines

The existing process took 10–11 days from data receipt to mailing, creating internal strain and increasing the risk of delays.

Manual Processes

Heavy reliance on manual steps slowed production and increased the potential for errors in highly sensitive data.

Accuracy and Trust

Every record had to be processed correctly to protect donor confidence and organizational credibility.

The O’Neil Approach

O’Neil worked closely with the Donor Network of Arizona team to evaluate the entire workflow—from data transmission and proofing to production and mailing.

By introducing automation where it mattered most and tightening internal processes, O’Neil reduced handoffs, shortened approval cycles, and created a repeatable system built for reliability under real-world pressure.

What We Did

  • Evaluated data intake, proofing, and mailing workflows
  • Implemented automation to streamline bi-monthly data processing
  • Reduced manual intervention to improve accuracy and efficiency
  • Shortened proofing timelines through refined approval workflows
  • Integrated production and mailing into a single coordinated system
  • Reduced total production time while maintaining compliance and trust
  • Built a repeatable, scalable process for ongoing mailings

What We Delivered

O’Neil delivered an optimized direct mail system that reduced the total production timeline from 10–11 days to 6–7 days. Automation and disciplined workflow design improved accuracy, reduced operational strain, and supported reliable, ongoing execution.

Results and Impact

The updated process increased efficiency, reduced costs, and improved confidence across DNA’s internal teams. Faster turnaround times allowed confirmation letters to reach donors sooner while maintaining the high standards required for healthcare communication.

“Donor Network of Arizona partners with O’Neil to inform Arizonans of their lifesaving decision to register as organ and tissue donors. We are grateful for O’Neil’s efficient process that allows us to deliver confirmation letters to registrants timely and accurately.”
